How often are PROM notifications sent to the patient?

Enroll PROMs
The first PROM a patient completes is called the Enroll PROM.
Enroll PROMs become available when a patient is admitted to the program. If there is an email pr phone number for the patient listed in IDX, the patient will receive an email or text message with a link to the Enrollment PROM.

For scheduling programs, such as Outpatient Services, emails & text messages will be sent the day before the patient’s first appointment. If the PROM is not completed the day before the appointment, an additional email or text message will be sent the morning of the appointment.
- If the patient does not complete their Enroll PROM associated with this first appointment, the patient will receive emails and text messages with the link to the Enroll PROM the day before and the morning of future appointments, until the Enroll PROM is completed or the provider Excludes the patient from the PROM system.

For non-scheduling programs, such as Day Hospitals or Inpatient Units, an email or text message with a link to the Enroll PROM will be sent the morning after a patient is admitted to the program.

Emails and text messages with links to the Enroll PROM will continue to be sent each morning until the Enroll PROM is completed or the provider excludes the patient from the PROM system
Repeating PROMs
After the first Enroll PROM is completed, patients will receive repeating PROMs (unless they are excluded by the provider).

PROMs can be set to accompany scheduled appointments (i.e., “appointment” frequency) or can be sent after a certain number of days (i.e., “interval” frequency).

Repeating by Appointment: PROM email and text message reminders will go out the day before the appointment. If the PROM is not completed the day before the appointment, another email and text message will be sent the morning of the appointment.

Repeating by Interval: PROM email and text message reminders will be sent the day before the PROM is due. If PROM is not completed, another email and text message will be sent the morning of the day the PROM is due. If the PROM is not completed, an email and text message reminder will be sent the following morning. A maximum of 2 reminder emails/text messages may be sent the days following the due date.
